For most people, workplace AI starts as a browser tab. That works, and for occasional use it is enough. But the major labs all ship native desktop applications now, and once AI is part of daily work rather than an occasional errand, the desktop app is usually the better home for it. The reasons are practical, not cosmetic.
What a desktop app changes
- It is always one keystroke away. The apps register a global shortcut that summons a chat window over whatever you are doing. The difference between 'switch to the browser, find the tab, start typing' and 'press one key' sounds trivial; in practice it is the difference between a tool you use constantly and one you keep forgetting to use.
- It can see your work — when you allow it. Desktop apps can take in screenshots of a window, accept dragged-in files, and on supported setups read from applications you explicitly grant. Explaining a broken spreadsheet is much faster when the assistant can look at the spreadsheet.
- It connects to your other tools. The desktop apps are where connectors live — integrations that let the assistant search your company drive, read a ticket, or query an internal system. Many of these are built on the [Model Context Protocol](/glossary/), an open standard the industry has broadly adopted, which means the connector your company builds once tends to work across products.
- Voice, where typing is the bottleneck. Dictating a rough brief and letting the assistant structure it is a genuinely different workflow from typing, and the desktop apps handle it well.
The lineup
- Claude ships desktop apps for macOS and Windows. The workplace-relevant strengths are long-document work and connectors, and the desktop app is also one of the homes of Claude Code, covered in [the terminal guide](/work/cli-coding-agents/).
- ChatGPT ships desktop apps for macOS and Windows, with the same summon-anywhere shortcut pattern, voice conversations, and screenshot-aware answers.
- Microsoft Copilot takes the opposite approach: rather than an app you add to the operating system, it is built into Windows itself, and — on Microsoft 365 Copilot plans — into Word, Excel, Outlook, and Teams directly. For Microsoft-centric workplaces this is AI arriving inside the tools people already have open.
- Gemini is the exception that proves the pattern: Google has not led with a standalone desktop app, because its equivalent play is Gemini living inside the browser and inside Workspace apps — Gmail, Docs, and Sheets. If your company works in a browser signed into Google, that is its desktop story.
Every one of these moves quickly. Features listed here describe the shape of each product, and the vendor's own page is the only current source for exactly what ships on which platform this month.
The permission conversation
Everything that makes desktop apps more useful — file access, screenshots, connectors — is also precisely what a security team will ask about, and should. The good news is that these capabilities are permission-gated: the apps ask before reading a screen, accessing files, or connecting to a data source. The workplace rules worth writing down are short:
- Screenshots follow data rules. A screenshot of a customer database is customer data. The [three-tier data rule](/work/bringing-ai-to-work/) applies to what the assistant sees, not just what you type.
- Connectors are an IT decision, not a personal one. A connector that reaches an internal system should go through whoever owns that system. Business-tier admin consoles increasingly let organizations control which connectors are available, which is the sane way to manage it.
- Work accounts, work apps. The desktop app signed into a personal account is shadow AI with better ergonomics. Deployment should come with the company account signed in from day one.
For IT, the deployment story is conventional: standard installers that fit normal software-distribution tooling, with organization-level settings arriving through the business-tier admin consoles covered in [choosing a business AI plan](/work/business-ai-plans/).
Picking without overthinking
If your company has chosen its AI provider, the desktop decision is already made — deploy that provider's app, or in Microsoft's case, license the Copilot features inside the suite. If you are still choosing, the desktop apps are a fine place to run the comparison, because they are where the products differ most visibly in daily feel. Install two, live with each for a week of real work, and notice which one you keep summoning.
